Since our early days, a hallmark of The Bear Creek School has been the close partnership between parents and the school. Volunteering is one important part of this partnership, and the benefits are immense. Parents and guardians gain the opportunity to get to know one another, learn more deeply about the school, share their expertise and passions with the community, and live their commitment to their child’s education.

Volunteers are a key ingredient in the life of The Bear Creek School, and there are many avenues to become involved. Opportunities are available in the classrooms, on the athletics fields, in leading clubs, at school events, and supporting philanthropic efforts.

Volunteer Around Campus

Sign up to share a dish at Upper School's annual I-Feast.
Support PTF events such as Christmas decorating, Walk-a-thon, Teacher Appreciation, etc. (complete this interest form or sign up to volunteer to help out with current needs).
Support athletics events supported by the Grizzlies Booster Club such as Tailgates, Green & White Night, Hungry Bear, etc. (complete this interest form).
Join the Gratitude Gala Planning Committee (email community@tbcs.org)
Join our costume sewing team to help reinvigorate our theater program’s costume closet (email community@tbcs.org)

Volunteer in the Classroom

Parents of K – 6 students may sign up in their child’s classroom on Curriculum Night and directly with their child's teacher.
Parents of 7 – 12 may also help with school events and parent groups

If you have any questions about volunteering in the classroom, please contact your child’s Division Head. If you have questions about volunteering for a community event, please contact the parent group organizer (PTF or Boosters) or email community@tbcs.org.

Volunteer Guidelines

We appreciate your volunteer time. To make your time more effective, please observe the following guidelines:

All adults volunteering with students are required to submit a Volunteer Background Check Disclosure annually. The form is included with Back-to-School Registration and must be uploaded to the school’s health portal with a copy of your valid driver’s license.
If you have had any symptoms of illness within 24 hours of the day you are scheduled to volunteer, please stay home and notify the teacher or event coordinator that you will not be available to volunteer. This is an important precaution to protect the health and safety of our students, faculty, staff, and fellow volunteers.
If you are expected to volunteer, but cannot be present, please try to arrange a substitute. If you cannot find someone to fill your position, please notify your child’s teacher or the main office at your child’s campus in advance.
All visitors much check in at the front desk and wear an official ID badge or name badge while on any campus.
Information or observations about individual students are to be kept confidential. If you feel there is a problem, please notify the teacher.

Volunteer Clearance Process

For the protection of our students, The Bear Creek School requires volunteers* to complete an annual background check.

Step 1: Complete Background Check Disclosure

We require all volunteers to have an annual background check on file prior to volunteering with students. If you have not yet completed the Volunteer Background Check Disclosure item on your youngest child’s to-do list in the Magnus Health portal, please upload the completed disclosure form with a picture of your valid driver's license.

Step 2: Receive Volunteer Clearance

When the Volunteer Background Check Disclosure to-do item has been approved** in the health portal (not just submitted), you are cleared to volunteer with students. You will receive email if there are questions about the documents uploaded. If the item is rejected, it usually means that the uploaded paperwork was incomplete.

* Volunteering at school is not required. If you do not plan on volunteering and do not want to receive reminders from Magnus Health to complete this to-do item, simply answer No to the initial question on the item, "Do you plan on volunteering for the school?". When you answer No, the item will be automatically approved.

** If you answer No to the question, "Do you plan on volunteering for the school?", the approved item in the Completed Forms section on the app looks identical to any other approved item (e.g., if you had answered Yes and your background check forms were uploaded and approved). In the browser, you can see the No answer was approved.

Volunteer Forms

Background Check Disclosure
If you wish to volunteer or work with children of any age in or out of the classroom, print and complete this form, then submit online by uploading a photo of the form with your valid driver's license to the health portal. Volunteers must submit this form annually. This form must be submitted in the health portal as part of Back-to-School Registration.
Volunteer Driver Acknowledgement
If you wish to drive on field trips or to class parties/events this year, print, complete, sign, and submit online by uploading a photo of this form to the health portal along with proof of auto insurance. Volunteers must also submit the Volunteer Background Check Disclosure. This form must be submitted in the health portal as part of Back-to-School Registration.
